[Cesg-all] Fall 2016 Meeting Planning

Dear Mehran,

Moving the MPS meeting to the last two days creates a direct conflict with the SAWG, since Roger Thompson is a key participant in both of these meetings.  I do not have any particular problem with moving the SAWG earlier in the week, but I really need two days of contiguous meetings, not ½ day here and ½ day there.  That is totally unacceptable.   My understanding is that there is a meeting room crunch and that is the driving concern.

It would have worked fine for the SAWG if the SAWG and MPS meetings had just been swapped.  However, having them on the same days just does not work at all.

I think it is up to the meeting organizers to sort this out. I have no way to resolve this myself.

Dear Peter,

The earlier version of the plan you refer to was not based on any input from myself or Steve. I have provided to David on 6 June our input that the MP&S WG will meet on Thursday and Friday.

Meeting earlier during the week creates other overlaps, hence not possible for us.

Hi David,

In the earlier versions of this schedule (Draft2) you had the SEA SAWG on Wed AM to Friday AM, and the MOIMS Mission Planning and Scheduling on Mon – Tues.  That worked just fine and it was what we requested.  A key member of both WG is Roger Thompson and it just does not work at all if they are scheduled at the same time.  I thought we made that clear in earlier discussions, but it seems to have been overlooked.

In the latest schedule (Draft3), which I did not check when it came out because there had been no issue earlier, you have moved the MOIMS Mission Planning and Scheduling to Thurs and Friday.  That just does not work at all since both meetings will then lose ½ of Roger’s valued contribution, or one will lose all of it.

Please find a way to make the needed adjustments.

At this time there is currently one too many rooms booked on Thursday a.m. I recommend that we may be able to execute this on the ground while we are in Rome if you are willing to risk the chance that one of our smaller groups may not have a separate facility – namely D-DOR I suspect. Otherwise, we will require one group to move to an available time slot.

Available time slots are:
Monday a.m. only (2 rooms)
Tuesday all day (1 room)
Friday p.m. only (3 rooms)
