Dear Gian Paolo,

I agree that a separate email communicating this news and an urgent disclaimer should be distributed. The deadline of April 5 was set by NASA Ames Research Center and I do not have the ability to change that date. As I have communicated to Enrico, I can request exceptions when they are required. I have done so for Enrico already and am awaiting a response. I will draft a new email to CCSDS-All restating the requirement.

Dear Michael,
        I shall share the concern expressed separately by Enrico about the fact that deadline of passport scans by April 5 communicated today is NOT realistic.
For users travelling this can be indeed a major issue.

Moreover the subject of the e-mail is rather misleading as it looks as a simple reminder to those not registered yet.
In a period where e are flooded with e-mails, I would not be surprised if people already registered will ignore the mail after simply reading the subject.

I do recommend
1) send a new mail with a clear subject warning the non US citizens for the urgent request, and
2) extend the deadline for providing the information (at least for the scanned passports).

Of course deadline for registration should remain to 5th April.

I think this will be in everybody's interest.

To everyone who intends to attend the Technical Meetings, please remember that Registration for the spring 2019 CCSDS Technical Plenary will close on 5 April 2019. If your attendance at the meetings is tentative or if you are unsure in which meeting sessions you will participate, please register now. You may modify or cancel your registration at a later date should it become necessary. Please share this message with any of your colleagues who are not regular CCSDS participants but may wish to attend this spring’s meetings.

Meeting Attendees who are not Unites States Citizens will need to register their attendance at the CCSDS Technical Meetings with NASA Ames Research Center. Please complete the attached IV Form Part 1 and return it to me with a scanned copy of your passport. If you applied for a visa to attend the Technical Meetings, please send a scanned copy of your visa to me as well. If you have applied for a visa but have not yet received it, please inform me as soon as possible. You may complete IV Form Part 1 in Microsoft Word or print the form and complete by hand. The CCSDS Secretariat will submit IV Form Part 2 for all attendees. All meeting attendees who are not United States Citizens need to submit this information no later than 5 April 2019. The CCSDS Secretariat will submit registration data for all United States Citizens attending these Technical Meetings.

SPRING 2019 TECHNICAL PLENARY MEETING

Hosted by NASA, the CCSDS spring 2019 meeting series will be held at the NASA Ames Conference Center (NACC) in Mountain View, California, United States. The main technical meeting series will be held 6-9 May 2019. [Note: This will be a four-day technical meeting.] The CESG Meeting will be held on 10 May 2019 also at NACC in Mountain View. The CMC will meet separately on 11-13 June 2019 at the Canadian Space Agency Headquarters in St- Hubert, Quebec, Canada.

The Mission Planning and Scheduling Working Group will meet Monday-Thursday at the Quality Inn & Suites at NASA Ames, close to the NASA Ames Conference Center. Registration will close on 5 April 2019, four weeks before the start of the technical meetings to provide sufficient time for final logistics planning at ARC. If your attendance at the meetings is tentative, please register now. You may cancel your registration at a later date should it become necessary. Registration for this meeting cycle is opening earlier than usual to allow attendees from the United States an opportunity to register before any potential furloughs.

All attendees that require a Letter of Invitation for visa purposes should already have their letter. However, if you do not have a letter, please contact the Secretariat (Secretariat at mailman.ccsds.org<mailto:Secretariat at mailman.ccsds.org>) immediately so one can be arranged.

FALL 2019 TECHNICAL PLENARY MEETING

The fall 2019 Technical Plenary will be hosted by ESA at the Darmstadtium in Darmstadt, Germany. The technical meetings will be held from 21-24 October 2019. [Note: This will be a four-day technical meeting] The CESG Executive Committee will meet on Friday, 25 October 2019, at ESOC also in Darmstadt, Germany. The CCSDS Management Council will meet 28-30 October 2019 at ESOC. Some preliminary information will be available after the spring 2019 meetings.
