Enrico,
you can send the usual few slides report with items completed and
mentioning what it is still to be done.
I think a RFM Representative is required in case there are opinions to be
expressed at Area level (and to take the thousand actions that will be
assigned to RFM WG, of course :o)
As already mentioned, with timely input the meeting can be very short
IMHO.

If the meeting has not finished the work by Monday 25 as it seems possible
for the RFM WG, I would like to have the possibility of not sending
anything and not attending the virtual area plenary.
You can quote that work is on progress with DDOR WG with an expected
output in June.

Dear All,
I would like to start thinking about Planning a (virtual) SLS Area
Plenary Meeting for Huntsville.
As you see from the mail below, there no firm CESG decision about the
Spring (virtual) Meetings.
I think the only thing that is sure is that there will be no (virtual)
Opening Plenary.
I am sure you are all very sad for this....
Something clearer should be reported by Margherita by the end of the week
(and I will keep you posted), however there will be for sure a CESG
Meeting with reporting by Areas.
I would expect this CESG Meeting to be in the last week of May, but I
cannot bet on it and therefore the schedule for WG reporting could be
affected.
I would like to save everybody from a (long) SLS Area Plenary Meeting in
telecon if not strictly needed.
Therefore I would start with the following suggestion
1) each WG completing their electronic meeting should forward ASAP to
Gilles and me the relevant slides for the usual reporting
2) Gilles and I interact (as usual) with WG chairs for refinement of each
individual report
3) Once the interaction in #2 above is concluded for a given WG, that WG
report is forwarded to SLS Mailing list for comments
4) hopefully the comments gathered can be solved via e-mail
5) Finally an electronic SLS Plenary meeting can/should be held for
controversial issues or wrap up. Clearly to keep this meeting very short
and focused, previous proper e-mail interaction will be essential
That's my initial idea.

I have realised that I did a typo in my former e-mail: I meant to get
your inputs by 22 April - tomorrow - and not on 29 April.
Actually, I am aiming at issuing a schedule for the virtual ( Technical +
CESG) meetings by this Friday, 24 April.
If the deadline on 22 April is now too short notice for you, can you try
and let me have your options by 23 April cob ?
This would still allow me to go out with the a.m. schedule on 24 April.

Subject: Approach for virtual Technical Meetings to replace the
CCSDS Spring Meeting in Huntsville
Dear CESG colleagues,
as you meanwhile know, the Spring Meeting in Huntsville has been
cancelled.
Together with the CMC, we are evaluating the possibility to run some sort
of "remote" Technical Meetings, in replacement of the Spring Meeting.
In the CESG teleconf tomorrow, I will spend the first few minutes to
outline an approach, to just trigger some thinking on your side.
The approach, which entails some options, is the following:
1) a virtual Plenary Meeting ( e.g. via Skype or zoom) for all
participants looks unrealistic to do ( and it is not strictly needed).
2) it should be possible to run a light version of the face-to-face
Technical Meetings, by letting each Area/WG organise their remote work,
with some flexibility.
The following options shall be considered:
2a) the WGs may/will schedule some sessions via Skype (zoom, or the like),
during the already foreseen 5 days of the Spring Meeting ( i.e. 4 to 8 May
2020), or
2b) extended duration: the WGs may/will schedule some sessions via Skype
(zoom, or the like), during a period of time of, say, three weeks (say,
from 4th to 22 May).
It is acknowledged, that some WGs may decide not to hold any remote
session - due to e.g. too different time zones of the participants .
At completion of their activities, the WGs will provide their report to
the AD, as usual.
3) A CESG Meeting via teleconf will be held after completion of the
(remote) Technical Meeting, in replacement of the face-to-face CESG
Meeting
3a) in case option 2a) is taken, the CESG meeting will be held on 11 May,
that is, on the date scheduled for the "real" CESG Meeting of Hunstville.
3b) in case option 2b) is taken, the CESG meeting will be held at the
completion of the three-weeks Technical Meetings, that is, at end of May.
The aim of the CESG Meeting is, as usual, to review the work done and
prepare the Reports for the CMC
For your info : the CMC Meeting will be held via teleconf as well, 16 to
18 June.
In that occasion, either the ADs or myself will preset the Area Reports,
as usual.
Please glance through the options above, and start talking to your Working
Groups.
We will further address all the above tomorrow.
