just for clarification, when you refer to November - May for the WG meetings, are you firm on these months or should we read <Mid October - Mid November> and <Mid April - Mid May> as we had before, at least in practice ?

This remark is just because some weeks in late November or May are blank weeks that cannot be used : thanksgiving, ascencion, ...
Earlier windows would give more opportunities to avoid strong conflicts.

CMC Colleagues... In my comments below about meeting later in the year (technical meetings in November and May) I was mistaken.  I forgot that we would naturally also switch the intervals...   In the Spring with NASA hosting, we would have the CMC meeting about a month later, and in the Fall with the other agencies hosting, we would join the two meetings with the CMC meeting on the second week.  So the fall CMC meeting would not be in December (as I said below), it would be in November with the Technical meeting.  And the Spring CMC meeting would follow the NASA-hosted Technical meeting by about a month, hosted by a different agency in a different location.  That assumes that we keep to that split-and-joint meeting approach as we have in the past.

Sorry for the confusion on my part.

Dear CMC Colleagues:  In the last CMC telecon (Sept 6) we had a discussion about potentially shifting the meeting planning rotation so that NASA would host in the Spring, and ESA (alternating with other agencies) would host in the Fall, with the first of these being UKSA hosting in Fall 2014.  However, ESA needed some more time to confirm the long-range impact.

ESA notified me this morning that they confirmed that they can shift to the new proposed schedule.  This is the schedule that was discussed with the CMC in both our December meeting in Florida and our April meeting in Bordeaux.

UKSA also confirmed that they have reserved the BSI (British Standards Institute) facility in London for the Fall 2014 meeting, with the Technical meeting being 10-14 November 2014, and the CMC meeting being 17-19 November.  Note that this is a little later in the year that we usually have our meetings.  In our next meeting, we should talk about this.  I think that all agencies with a fiscal year starting October 1 would benefit from the "typical" technical meetings being in November and May (6 months apart), although it constrains the Fall CMC meeting to be in December.

I have attached a PPT from our "meeting planning" presentation that has been updated to show the near-term and long-term rotation plan.

I recommend that we have a CMC poll to get confirmation from the agencies that they are OK with this plan.  I propose to set up a poll late next week, after we allow some time for our colleagues to comment on any issues they may see with this approach.  As always, comments are welcome.
