CMC members: The Resources poll for the CMC has passed with 7 agencies voting "adopt".
Unfortunately, one of the charts in my presentation was incorrect. I said that if a change is made to the resources, the project would automatically switch to "pending" status, until approved in 6 months at the next CMC meeting. It seems that the system cannot be set up like that. I discussed this with Brian in Tech Support, and we arrived at the following approach. This approach also enhances the system by providing an alert to CMC members if a WG chair changes their agency's commitment to either book editor or prototypes.
Prior to "Baselining" (before CMC poll to "Baseline")
· WG Chairs put initial data in the system for all projects (no FTE needed for existing projects)
· When a new project is proposed, WG chairs fill out all fields (including FTE), and then they ask for a CMC poll to approve the project.
· When all projects have data entered, the CMC will have a poll to Baseline the projects and their resources. At that point, all projects are approved.
After "Baselining",
· Whenever a WG chair either selects or de-selects an agency (and saves it) in the Resources Edit screen, an alert email will automatically be sent to that agency's CMC delegate. But that alert email is *ONLY* for selecting Book Editors and Prototypes (the principal resource consumers)
· The CMC member can then work with the WG team members from his agency to confirm their support or ask the WG chair to remove it.
· At each CMC meeting cycle when the CMC reviews schedule changes, they will also review all other resource changes (monitor/contribute, etc.)
So, that will replace chart 8 ("More Process Discussion") in the presentation that we voted on in the poll. I will send the revised PPT out to the WG chairs and CESG in a few days, unless I hear someone that objects to this approach.
I also have clarified some of the other discussions, considering that the WG chairs do not know as much background as the CMC members. The revised presentation is attached.
