[CMC] Registration opening soon

CMC members: Registration for the Portsmouth meeting (May 3-7) of the technical working groups will be open soon.  We are returning to our favorite AIAA registration system for this meeting.  As in previous meetings, whenever someone registers from your agency, you will receive an automatic e-mail asking you to approve their attendance.  If you do approve, no action is required.  If you do not approve, you must respond to the Secretariat within five days to object to this person's attendance at the CCSDS meeting.  We are telling the attendees that they should be cautious with making travel arrangements until five days after they register, in case there is a problem with agency approval of their attendance.

The purpose of this system is to ensure that attendees are valid supporters of CCSDS agencies.  And also to allow you the ability to control your own agency's travel costs.

If there are any questions on the way the system works, feel free to contact the Secretariat directly.  If there are recommended improvements for the overall process, we can discuss it at the CMC meeting in Brazil.

We will also be setting up a separate registration system for the Brazil CMC meeting.  Of course, for that meeting, no automatic e-mails are sent out.  However, we request that agencies have all attendees register so we can get headcounts to support the meeting logistics.

One note about Visas - because of problems at past meetings, we are starting a "standard procedure" that at every meeting in our six-month cycle, we will provide *in person* the letters of invitation for the *following* meeting.  Prior to any meeting, the Secretariat will provide the host with a list of people who need letters of invitation for the following meeting.  We expect that the host of the following meeting to bring those letters of invitation to the prior meeting, so they can be distributed by the Secretariat.

Pardon me if that sounds complex.  Here's the example -- for the upcoming Spring 2010 meeting in the USA, we expect Peter Allen to bring the letters of invitation for the Fall 2010 meeting in London.  At the Fall 2010 meeting in London, we expect Martin Pilgram to bring the letters of invitations for the Spring 2011 meeting in Berlin.  And so on.  So we are preventing the problems that stopped many of our agencies from participating in earlier meetings by providing the letters six months early, and handing it to them directly.  Of course, if they don't attend, will have to e-mail it to them.
