I concur, Erik. I think that is a very good idea. That way, as they evolve, everyone will know where to go to get the most up-to-date version.

Dear WG Chairs / ADs / DADs

I can imagine that the following request will raise some comments/issues/etc., but I am asking for your comprehension and help.

CESG has agreed to introduce new templates for

  *   WG Report to the Area
  *   Area Report to CESG

Some of the charts included in the new templates have been requested by the CMC, (i.e. Approved Project Status, Resource issues for approved Projects, Upcoming New Work Items)

As its agreement at CESG level  has taken some time, we are asking everybody to use the template and give only feedback to your AD/DAD during the Area Plenary to be held on 21st October 2016.

CESG will discuss all comments during its meeting on 24th October 2016, and update the template for the next meeting in San Antonio.

WG Chairs
Please use the following template for your next report

Tables in charts 2,4 and 5 shall be filled in the attached spreadsheets (1 per Area and within the file one per WG) and cut / paste (as picture) them into the powerpoint presentation.
As I am aware of the reluctance to do this from scratch, I have prepared in 2 hours the files per Area. Filling the tables will need not more than 15'-30'  minutes per WG



How to use the template for a WG Report: SEA SEC WG as an example

  1.  Chart # 1:  replace [bracketed text] with the WG info

  1.  Chart # 2: (maximum 2 charts)
     *   Replace [bracketed text] with the WG info
     *   Fill the table shown in the spread-sheet "SEA SEC"of the SEA Area excel file the fields "status", "" Start and / or Target Publication Date" and "Comments"
     *   Cut and paste the table (as picture) in the power point presentation

  1.  Chart # 3: free text to address additional details for the Area info

  1.  Chart # 4:
     *   If no Resources issues for Approved Projects, keep the chart, delete the table and state "N/A".
     *   If the WG is missing prototype 2 resources, use the spread-sheet "Approved Projects miss resources" of the SEA Area excel file. Fill all the fields, in particular the resources estimated in 2017,2018, 2019
     *   Cut and paste the table (as picture) in the power point presentation

  1.  Chart # 5
     *   If no New Work Item (NWI) (i.e. a new Project or an existing Draft Project) will be submitted during the next 6 months to the CMC for approval,  keep the chart, delete the table and state "N/A".
     *   If NWI will be submitted during the next 6 months to the CMC for approval,  use the spread-sheet "Forthcoming Projects" of the SEA Area excel file. Fill all the fields, in particular the resources estimated in 2017,2018, 2019
     *   Cut and paste the table (as picture) in the power point presentation

You AD / DAD will use your charts to compile the Area report

How to use the template for an Area report: MOIMS Area as an example

  1.  Chart # 1:  replace [bracketed text] with the Area info

  1.  Chart # 2: Cut and paste the excel file provided by the Secretariat

  1.  Chart # 3: Complete the Area Executive Summary

  1.  Chart # 4: Include all WG Executive Summary charts (maximum 2 charts / WG)

  1.  Chart # 5: Cut and paste (as picture) the planning tables included in the WG Executive Summary (1 per WG)

  1.  Chart # 6:  Compile the spread sheet " "Approved Projects miss resources" with the WG inputs  (i.e. NAV and SM&C WGs missing proto 2 resources). Cut and paste (as picture) from the excel table to the powerpoint presentation

  1.  Chart #7: Compile the spread sheet "Forthcoming Projects" with the WG inputs. Cut and paste (as picture) from the excel table to the powerpoint presentation

  1.  Chart #8: Complete the "Resolution Summary" replacing bracketed text

  1.  Chart #9: Complete the "issues for CESG / CMC summary"  replacing bracketed text
